This presentation was delivered at SharePoint Saturday 2018 (#SPSCLT18).
In SharePoint, content types are very powerful but still not understood by many people in charge of making SharePoint work for their organization. Content types can be used to lessen the workload by making a template that can be used throughout the different depts. of an organization and even across site collections. In this session, we will not only go through what content types are, we will go through how to build, disseminate and maintain them.

• Microsoft cloud technology is constantly being
updated.
• As such, although we try to keep up to date
slides, it is extremely difficult.
• Please excuse any inconsistencies between our

Microsoft added something or moved a button.
12. What is it?
A content type is an item and metadata
and/or other information such as a
template or a retention policy. The item
could be a file, document, excel workbook,
a status indicator for a progress report,
folder, etc.
For example, you could create a content
type Invoice, Sales Contract, Legal
Contracts, Time Off Request, etc. that you
can then insert in every list or library where
needed.
13. 14
Here is a short list of just some default parent content
types in SharePoint.
Digital assets content types: Audio, Video, and Image
Document content types: Basic page, Document,
Form, Link, and Wiki Page
List content types: Announcement, Contact, Blog Post,
Task

Here are some of the common things you can:
Add columns (metadata)
Create custom New, Edit, and Display forms
Attach workflows
Associate custom solutions or features
Associate information management policies
Attach a document template for new items
(document content types only)
What Can You Do with Content Types?

24. 25
You can make a content type at any level of the site collection and it will inherit down but if you are not the
top of the site collection then you/others may not be able to use in places you thought you could use it.
Best practice is to publish to the site collection or, better yet, the hub.
You can modify the list or library content type but that may not be transferrable to other places. To make
one that is useful in other places, create at the top of the site collection then replace the content type in the
list/library you currently need it in.
In the library, if you made a mistake or have to switch the Document template back, use
<documentlibraryname>/Forms/template.dotx (use may have to use the absolute, instead of the relative,
path if you get an error).
Your environment’s content types may only use Site Columns (also if you create the content type in the Site
Settings -> Site Content Types). Make sure you create the Site Columns before you try to use them. Using
Site Columns is best practice anyway.
In SPO, the Content Type Hub is turned on when you turn on the Site Collection feature (Content type
Syndication Hub) and it uses a hidden site (i.e. https://<myorg>.sharepoint.com/sites/contentTypeHub). It is
currently not visible in the SPO Admin Center, old or new.
Content Types using the hub must be published from the hub itself. Although you have the appearance of
being able to publish to the hub from, you can only publish from the hub down.
